How we handle your information

scaleupawards.ca is operated by ScaleUP at Mount Royal University’s Bissett School of Business in Calgary, Alberta. This policy explains what information we collect through this website, how we use it and the choices you have.

We collect only what we need to run the ScaleUP Awards and the programs around them. Depending on how you use the site, that may include:

• Nominations: the nominated company’s name, website, location and award category; a contact at the company if you give one; your name, email, organization and role; how you know the company; and whether you agree to share your name with the company.
• Applications (from January 5, 2027): company details, the information the judges assess, including growth figures over the past 3 years, and the materials a company chooses to submit.
• Updates and ticket notifications: your name and email, and what you asked to hear about.
• Partnership and general inquiries: your name, work email, organization, role and message.
• Attribution: where a nomination came from, such as a campaign link, an event or a referring partner.

We use this information to run the Awards: to invite nominated companies to apply, assess eligibility, judge applications, announce Finalists and winners, and administer the Finalist experience, the Summit and the Gala. We also use it to reply to your messages, to send the updates you have asked for, and to understand and improve the program.

Award applications are reviewed only by the ScaleUP Awards Selection Committee and the ScaleUP team. A company’s revenue and employee figures are never published.

When you nominate a company, you choose whether your name is shared with it. If you leave that box unticked, the company is told it was nominated but not by whom. The ScaleUP team always receives your details so it can follow up with you.

We only send marketing email, such as awards news, Gala and Summit updates or ScaleUP Community news, where you have ticked a separate box asking for it. Every email includes an unsubscribe link, and you can change your preferences at any time by contacting us. Messages needed to run the Awards, such as an invitation to apply or a confirmation of your nomination, are sent regardless of marketing preferences.

We do not sell personal information. We share it only to run the Awards and ScaleUP’s programs: with the Awards Selection Committee to judge applications; with Mount Royal University as the program’s home; and with the service providers that help us operate, such as our customer relationship and email platform (HubSpot), our website host and our community platform. These providers act on our instructions.

Public recognition, such as naming a Finalist or an Award Winner, publishing a company profile or using photography and video from ScaleUP events, is done with notice and the consent of the people and companies involved. We may also disclose information where the law or Mount Royal University’s obligations require it.

This site uses essential cookies to work properly. We also use analytics and marketing cookies, including HubSpot’s, to understand how the site is used and to measure the reach of the Awards. You can turn them off at any time from the Cookie preferences link in the footer, and your choice is remembered on that browser.

Where the law requires your consent first, such as in the European Union, the United Kingdom and some US states, we ask before setting them. We also treat a Global Privacy Control signal from your browser as a no.

We keep nominations, applications and award records for program administration, research and the historical record of the Awards, for as long as those purposes require. Contact details used for updates are kept until you unsubscribe or ask us to remove them.

We take reasonable steps to protect the information we hold, including secure storage and access limited to authorized ScaleUP staff and the committees involved in the Awards.

You can ask to see the personal information we hold about you, ask us to correct it, ask to be removed from our mailing lists or community platforms, or ask any question about how we use your information. Contact us using the details below and we will respond promptly. Mount Royal University’s handling of personal information is also subject to Alberta’s Freedom of Information and Protection of Privacy Act.

We update this policy when the programs or the site change. The date of the latest update is shown at the top of this page.
